Client Details (Viewing & Editing)

Client Details is the full record for one client in Rithm. Think of it as the home page for that person or practice: who they are, how important they are to your territory, how often you should visit, how to reach them, and what has happened on past visits.

From Client Details you can:

  • Review a client’s profile, contact information, and visit preferences
  • Update those details so your book stays accurate
  • See visit history and open related meetings on your schedule
  • Take everyday field actions such as calling, getting directions, checking in after a visit, and scheduling the next task or meeting

Keeping Client Details up to date helps Rithm plan smarter routes, show the right clients on your Target List, and keep your notes and contact info ready when you are in the field.

Depending on how your organization is set up, the menu may say Clients or Accounts. The Client Details screen works the same either way.

Where to find it

You can open Client Details from several places in the web app:

  1. Clients (or Accounts) in the main menu
    Open the list, then click a client card or row to open that client’s details.
  2. Pipeline
    Click a client card or link. You may return to Pipeline when you go back.
  3. Target List
    Click a client card to open details.
  4. Calendar
    Click a client name from calendar items, tips, or related scheduling screens.
  5. Check In
    Use View History → (or similar history links) to jump into Client Details and the meetings history for that client.
  6. After capturing a photo or scanning a business card
    Rithm may return you to that client’s details so you can review what was saved.

The page title is Client details. Use the back control (often labeled Back) to return to where you came from—usually the Clients list.


How to use it

Overview of the screen

Modern Client Details is organized into clear sections on one page:

  • A header with the client’s name, organization (when available), photo or initials, and quick action buttons
  • Client Profile — specialty, importance, notes, stage, and type
  • Meeting Profile — how often to visit, appointment-only and virtual preferences, and visit length
  • Contact Details — addresses, hours, email, phone, website, and other clients at the same location
  • Collapsible sections for Photos, Meetings, and Map

Empty values often show as -- until you add information.


Viewing a client

  1. Open the client from any entry point above.
  2. Start at the header to confirm you have the right person and organization.
  3. Read Client Profile for relationship context (stage, importance, specialty, notes).
  4. Read Meeting Profile for visit cadence and meeting style.
  5. Read Contact Details for address, hours, and how to reach them.
  6. Expand Photos, Meetings, or Map when you need history, images, or directions.

If you are viewing another salesperson’s book (shared or filtered views), editing may be limited or unavailable. In that case, Rithm may show a message such as asking whether you want to return to your own clients.


Header actions

Near the top of the page you will find quick actions (availability depends on your permissions and the data on file):

  • Sales Advisor (when enabled) — open Sales Advisor insights for this client
  • Schedule — opens a Quick Schedule menu:
  • Add Task
  • Add Meeting
  • Add Event
  • Visit ASAP (subtitle: Adds to this week’s route) or Don’t visit ASAP (subtitle: Route at standard pace)
  • Call — dial the client’s phone number when a number is saved
  • Navigate — open maps for the client’s address
  • Check In — log today’s visit; after you complete check-in for today, this may show as Completed
  • More — additional options such as:
  • Add another Location for this Client
  • Add another Client at this Location
  • Update from business card (when enabled)
  • Add Photo
  • Delete Client

Client Profile

This section answers: Who is this client in my territory?

Field What it means
Specialty The client’s specialty or focus (for example, a medical specialty).
Importance How important this client is to you, typically on a 1–10 scale, often with Low / Medium / High guidance. Higher importance usually means more priority in planning.
Notes Free-form notes about the client. Keep these useful for your next visit.
Stage Where the client is in your sales journey (for example Unaware, Aware, Trial, User, Advocate, or Lost). Choosing a lost stage can also set importance to 0.
Type The contact type for this record (for example Client or Prospect, depending on your company’s list).

Beside the Client Profile title you may also see a visit reminder, such as how long it has been since the last visit, including overdue warnings when applicable.


Meeting Profile

This section answers: How should Rithm schedule visits with this client?

Field What it means
Weeks Between Visits Target Ideal number of weeks between visits (often adjustable from about 1 to 12). Shown as something like “2 weeks.”
By Appointment Only Yes or No. If Yes, meetings are by appointment only and the Auto-Scheduler will not create meetings for this client.
Minutes per Visit Target Typical length of a visit in minutes.
Virtual Only No; Yes (Email/Phone – reminders only); or Yes (Virtual online meeting – no travel).

If the client is flagged for ASAP routing, you may see an ASAP badge on this section.


Contact Details

This section answers: Where are they, when are they available, and how do I reach them?

Address and Hours

  • Locations are listed with Address and Hours.
  • The primary location may show a Primary label.
  • Hours may show normal availability (for example weekday hours) or By appointment only when that setting is on.
  • Use + Add Location to add another address for the same client when you have edit access.

Email, phone, and website

  • Email, phone, and website appear with icons.
  • When a value is filled in, the icon can open mail, dial the phone, or open the website.
  • Click the value itself when you need to edit it.

Other clients at this location

Practices and offices often have more than one contact at the same address.

  • If none: No Other Clients at this Location, with + Add Client
  • If some exist: Other Clients at this Location, with columns such as Name, Specialty, Stage, Importance, and Meet Individually
  • Use + Add More Clients to add another person at this location
  • Meet Individually controls whether that person should be treated separately for visits

Address warnings can appear if the address is unclear or overlaps other records. Clear, recognizable addresses help Rithm schedule visits correctly.


Photos

Expand Photos to review pictures linked to the client.

  • Tap a photo to view it more closely
  • Add photos with the add control or from More → Add Photo
  • Non-primary photos may offer Make primary
  • Deleting a photo asks for confirmation: Are you sure you want to delete this photo?

Meetings (visit history)

Expand the meetings section (often titled like Meetings with [name] or Meetings with account).

  • If nothing is planned: None currently planned, with an Auto-Schedule… option when available
  • When meetings exist, you typically see Date, Call Notes, and Completed
  • Click a row to open the related day on the Calendar
  • Use More… to load additional history
  • Use filters such as Only ✓ / Not Only ✓ to focus on completed meetings

Map

Expand Map to see the client on a map and use Directions (Apple Maps) when coordinates are available.


Editing on the web (inline edit)

On the modern Client Details page, you usually edit one field at a time without leaving the page.

  1. Click the field you want to change (look for the small edit icon next to the value).
  2. Update the value using the control that appears (text box, slider, dropdown, checkbox, and so on).
  3. Click Save to keep the change, or Cancel to discard it.
  4. Look for a confirmation message such as Field updated successfully or Stage updated successfully.

Tips for novices:

  • Only one field is open for editing at a time during normal viewing.
  • There is no single “Save entire page” button for routine edits—each field saves when you confirm it.
  • If an address is unclear, Rithm may ask you to choose a clearer alternative so visits can be scheduled.
  • Changing Stage, Importance, visit frequency, or virtual/appointment settings directly affects how this client appears in planning tools.

Adding a new client (from Client Details flows)

When you add a client in the modern experience, the page title is Add New Client.

  • Fill in the key fields, especially the client name
  • Use Save Client to create the record, or Cancel to leave without saving
  • Cancel may ask: Are you sure you want to cancel? All entered data will be lost.
  • If the name is missing, you may see Please enter a client name.
  • When adding another client at the same location, Client name and Specialty are typically required

Deleting a client

From More → Delete Client (when you have permission):

  1. Confirm the prompt: Are you sure you want to delete this client?
  2. Review the name and address shown.
  3. Note the warning: This action cannot be undone.
  4. Choose Delete to remove the client, or Cancel to keep them.

If your account still uses the older Client Details layout

Some users may still see a read-only Client Details page with an Edit button in the header.

In that older layout:

  1. Review the fields on the details page.
  2. Click Edit to open the Edit Contact form (subtitle Edit client).
  3. Change the fields you need.
  4. Click Save in the header when finished.

The information is the same idea—profile, contact info, visit preferences, photos, meetings, and map—but editing happens on a separate form instead of field-by-field on the details page. If you also see Show Beta View, you can switch to the newer inline-edit experience.

Where to find it

On the Rithm iPhone app, open Client details from:

  1. Clients tab
    Tap a client in the list. You can also use the search bar to filter by client name or account name, then tap a result. Search stays available when you return.
  2. After Add Client
    From Clients, tap +, complete Add Client, and save. The app opens the new client’s details automatically.
  3. Targets tab (Target List)
    Tap the client’s name or address on a row to open details.
  4. Schedule tab
  • Tap client info on a route stop
  • Open Nearby Clients and tap a client
  • Open Clients Available Today and tap a client

The navigation title is Client details. The back button label matches where you came from: Clients, Targets, or Schedule.

Note: The Clients map pin sheet is a quick summary (and limited notes editing). It is not the full Client Details screen. On Target List, the info menu actions such as Call or Directions also do not open full details—use the name/address link for that.


How to use it

Overview of the screen

iOS Client Details is designed for field use. The screen is primarily view-only. To change most information, tap Edit.

You will typically see:

  • A header with the client name (and account name in uppercase underneath when both exist)
  • Circular action buttons for everyday field tasks
  • Optional expanders if the client has multiple locations or multiple people at the same place
  • A card of profile and visit fields
  • Show meetings
  • A map at the bottom when the address has been located successfully

Viewing a client

  1. Open the client from Clients, Targets, or Schedule.
  2. Confirm the name and account in the header.
  3. Use the action buttons when you need Advisor help, directions, a phone call, or check-in.
  4. Scroll the field card for stage, importance, contact info, notes, and visit preferences.
  5. Tap Show meetings for planned and past meetings.
  6. Review the map when it appears.
  7. Tap the sticky-note button in the top bar if you want to create a sticky note related to this work.
  8. Use the back button (Clients, Targets, or Schedule) when you are done.

If the client is no longer available in your book, the screen may close on its own.


Action buttons at the top

These circular buttons sit under the name:

Button What it does
Sales Advisor Opens Sales Advisor for this client (when you are logged in).
Directions Opens navigation in Waze or Apple Maps, based on your Settings preference (Waze is the common default). Requires an address.
Phone Starts a phone call when a number is on file.
Check In Opens check-in to log the visit. After you check in today, this becomes Checked In and is no longer available for another check-in that day.

Multiple locations and multiple clients

When relevant, expand:

  • Show N client locations — switch between addresses for the same client
  • Show N clients at this location — switch between people who share the same place

Tap a listed address or name button to switch the details you are viewing.


Fields you see on Client Details

Label What it means
Stage: Sales stage (Unaware, Aware, Trial, User, Advocate, Lost User).
Importance rank: Numeric importance (typically 1–10).
Type: Contact type (for example Client or Prospect).
Address: Street address used for visits and routing.
Phone: Phone number (calling is usually done with the Phone button above).
eMail: Email address; tap to compose a message when filled in.
Website: Website; tap to open when filled in.
Client Notes: Notes about the client.
Hours available: When the client is typically available (for example weekday office hours).
Virtual only: No; Yes (Virtual online meeting – no travel); or Yes (Email/Phone – reminders only).
By appointment only: Yes or No.
Weeks between visits: Target weeks between visits.
Minutes per visit: Typical visit length in minutes.
Last visit: Shown when visit history exists (for example Visited today, N days since visiting, Over N weeks since visiting, or Have not previously visited).
Specialty: Shown when a specialty is on file.

If the address cannot be located on the map, you will see a warning such as:
Warning. The Address is an unknown location. To be able to schedule a visit please provide a valid address.


Show meetings

  1. Tap Show meetings.
  2. Wait for Loading meetings… if needed.
  3. If none are planned: No meetings currently planned for this client, with Auto-schedule… when available.
  4. If meetings exist, review Date, Call Notes, and Completed.
  5. Tap a meeting row to jump to that date on the Schedule tab.
  6. If something goes wrong, use Try again. If you are logged out, you may see Please login to view meetings.

When you return from Meetings, the app scrolls you back toward the client name header.


Editing on iOS

Editing is done on a separate form, not by tapping fields on the details screen.

  1. On Client details, tap Edit (top right).
  2. The sheet title is Edit Client.
  3. Change any fields you need.
  4. Tap the checkmark button to save (accessibility label Save).
  5. Tap the X button to cancel without saving (accessibility label Cancel).

The Save checkmark is enabled only when:

  • The form is valid: you must have a name or Account, and an Address, and
  • Something has actually changed

While saving, you may see Sending Clients information…. When save succeeds, the sheet closes and Client Details refreshes.

Differences from the details screen to keep in mind:

  • Specialty may appear on details when present, but it is not a standard field on the Edit Client form.
  • Timezone and vacation dates are edited on the form and are not shown as everyday fields on the details card.

Adding a client

  1. On the Clients tab, tap +.
  2. Complete Add Client (same form style as Edit Client).
  3. Save with the checkmark when the form is valid.
  4. Rithm opens the new client’s Client details.

You can also use the business card scanner from Add/Edit (toolbar card button, accessibility label Scan business card) when a camera is available. Review scanned results before saving. If required identity is missing, you may see: Name or organization is required to save this client.

If the address is unclear after saving

Rithm may show Address problem and explain that the location is unknown for scheduling. You can:

  • Edit: the current address
  • Select a replacement: from suggested alternatives
  • Keep as is

Deleting a client

  1. Open Edit Client.
  2. Scroll to Delete.
  3. Confirm:
  • Single location: Are you sure you want to delete this client? This action cannot be undone.
  • Multi-location: Are you sure you want to delete this client from this location? (includes name and address), plus the cannot-be-undone warning
  1. Choose Yes to delete, or dismiss to keep the client.

Check In from Client Details

Tap Check In to log a visit while you are with (or just left) the client.

Typical check-in content includes:

  • Client Notes (with a shortcut into editing notes if needed)
  • Last Visit Notes
  • Who did you see? — buttons such as Doctor, Office Manager, Nurse / MA, Front Desk, Nobody (busy)
  • Outcome — buttons such as Discussed Product, Sampled, Left Information, Follow-up Needed, Lunch Only, No Access
  • Quick Notes (optional), with dictation available

Use Completed when ready (it may show Saving… while uploading). Success screens such as Visit Completed or Visit Recorded appear with Done. If the client is marked do-not-visit (importance 0), you may see a warning before or during check-in.


Sticky notes from Client Details

The sticky-note button in the top bar opens Sticky Note, where you can capture a short reminder with due date and reminder options without leaving your mobile workflow.

If something looks different from this guide, your company may still be on an older web layout, or your role may have view-only access. In those cases you can still review Client Details; editing and delete options simply may not appear.
