The Schedule List is your day-by-day plan in Rithm—who to see, when to see them, and in what order. It brings together visits Rithm recommends, appointments you create yourself, travel time between stops, helpful tips and reminders, and shortcuts to nearby or available clients you might fit in.
Use the tabs below for step-by-step guidance on the web app and the mobile app. The idea is the same on both; the screens and a few controls differ.
What is the Schedule List?
On the web, the Schedule List is the daily agenda on the Schedule page. It is not a separate menu item named “Schedule List.” When you open Schedule, the list (agenda) of timed stops for the day you selected is what we mean by the Schedule List.
Think of it as your field day on one screen. It typically includes:
- Notifications — tips, schedule alerts, sticky notes, and reminders
- My appointments — items you added yourself (calls, meetings, events, overnight blocks, and similar)
- Recommended Schedule — the main timed route Rithm built for the day, including client visits and travel time between stops
- Nearby clients (or Nearby accounts in some B2B setups) — people close by who are not already on today’s route
- Clients available today / All clients available today — a broader list of who could be seen that weekday
Beside or under the list, you will usually see a map of the day’s stops so you can picture the route.
Marking visits complete (and using Check In when available) helps Rithm learn what actually happened, so future plans get smarter.
Where to find it
- Open the main menu (hamburger icon).
- Choose Schedule.
- You land on the Schedule page for today (or the day you last viewed).
On smaller browser windows, you may also see a Schedule button in the footer navigation.
The page title is usually Schedule. If you are viewing a teammate’s day (when your account allows it), the title may show that person’s schedule instead.
Tip: The list is the agenda column of the Schedule page—the scrollable day plan with section headers like Recommended Schedule. The map sits next to it (or below it on a narrow screen).
How to use it
Choose a day
- Use the < and > controls to move one day at a time.
- Tap the date button to open a month calendar and jump to another day.
- Tap Today to return to the current day.
On the classic layout, a month calendar may appear above the list; tap any day to load that day’s plan.
Read the list from top to bottom
Sections appear when they have content. Each section header often shows a count badge.
Notifications
System messages, sticky notes, and email/phone reminders appear here. Expand or collapse the section as needed. Some system notes include an Okay control to dismiss them.
Read these first when something looks off—for example, if the plan was edited, the day looks light, or Rithm has a tip about Auto-Schedule.
My appointments
These are appointments and blocks you created. They stay on the calendar even if you clear Rithm’s recommended route. This section may start collapsed when other content is present—expand the header to review them.
Recommended Schedule
This is the heart of the Schedule List: timed client visits in order, plus travel rows such as Travel time: 30 minutes.
For each meeting row you typically see:
- Start and end times on the left (often clickable to reschedule)
- A circular check control to mark the visit complete / open Check In
- Client or account name (completed names often show with a line through them)
- Address for in-person visits, or contact details for virtual meetings
- A map waypoint letter (A, B, C…) matching the map stop
- Notes under the name (tap to edit call notes when allowed)
Travel rows are not visits. They only show driving time between stops and do not have a completion check.
Nearby clients / Clients available today
Use these when you finish early, have a cancellation, or want to add opportunistic stops. Nearby focuses on clients within a short distance (about 10 miles / 16 km). Available today is a wider weekday list.
Location permission helps Nearby work well. If location is not available, Rithm may show guidance instead of distances.
Open a client from the list
Tap the client card or name to open a popup with details such as stage, importance, hours available, phone, email, notes, and last visit (depending on your data).
From the popup you can often:
- Open Sales Advisor insights (when enabled)
- Reschedule the meeting
- Edit Call Notes
Close the popup with the X or by clicking outside it.
Mark a visit complete (Check In)
- Tap the circular check control on the meeting row.
- On the modern Schedule experience, Check In opens first.
- Choose who you saw using the buttons under Who did you see?:
- Doctor
- Office Manager
- Nurse / MA
- Front Desk
- Nobody (busy)
- Choose what happened using the buttons under Outcome:
- Discussed Product
- Sampled
- Left Information
- Follow-up Needed
- Lunch Only
- No Access
- Optionally add Quick Notes (for example, samples left or follow-up details).
- Review Client Notes or Last Visit Notes if shown.
- Tap Completed when ready (usually after at least one who/outcome selection), then confirm with Done on the success screen.
You can also tap Back to leave Check In without finishing.
If a stop includes multiple people at one office, Rithm may ask Completed for every client? and offer:
- YES. Completed for all!
- It was for some clients.
- NO. I’ll need to come back!
Checking off visits teaches Rithm. Completing people you actually saw—even from Nearby or Available—improves future routing.
Reschedule, edit notes, or delete
- Tap the time on a row, or use Reschedule from the client popup, to change when the meeting happens.
- Tap the notes line or use Edit Call Notes to update what you wrote about the visit.
- Delete only when you intend to remove the item; confirm carefully—deletes cannot be undone.
Add something to the day
- Tap Add in the Schedule header.
- Choose the type that fits your role. Salespeople typically see:
- Call
- Meetings
- Event
- Overnight
Managers with extra permissions may see Task, Meeting, and Event instead.
- Fill in the appointment details and tap Save. Use Back to leave without saving.
Items you add appear under My appointments and remain even if you rebuild the recommended plan.
Auto-Schedule and Clear Schedule
Under Recommended Schedule (and on some empty-day messages) you may see:
- Auto-Schedule — asks Rithm to build or refresh the day’s recommended plan. Confirm with OK, open related Settings if offered, or Cancel.
- Clear Schedule — removes Rithm’s recommendations for the day after you confirm. Your manual appointments stay.
While Auto-Schedule is running, the button may show Auto-Scheduling… and the list may explain that today’s plan is not ready yet.
Start Route / End Route
On the modern Schedule page:
- Tap Start Route to open a route companion for driving the day.
- Follow prompts such as Next Stop, Next Virtual Mtg, or Completed.
- Use Navigate for directions and Check In when you finish a stop.
- Tap End Route when you are done with route mode.
If there are no more stops, you may see No upcoming stops today.
Sales Advisor
When enabled, tap Sales Advisor from the Schedule header for coaching and insights tied to your day.
Viewing a teammate’s schedule
If your account allows filtering, use Show: or Choose a view: to switch between Only my personal data and teammate views. When you are looking at someone else’s day, completion actions are usually limited—you can review the plan, but you generally cannot check off their visits.
When the list is empty
You may see messages such as:
- Schedule is empty for today
- Your work hours show this is your day off. (with a link to work hours in Settings)
- That the Auto-Scheduler has not created a plan yet—use Auto-Schedule when appropriate
- Tips to add or import more clients or prospects if the territory book is thin
Adding print mode to the Schedule page produces a simplified agenda. Map waypoints, travel rows, notifications, and Nearby/Available sections are typically hidden on the printed view.
Practical tips for new users
- Start each morning on Today, scan Notifications, then work down Recommended Schedule.
- Treat travel rows as drive buffers, not appointments.
- Use Clear Schedule only when you want Rithm’s suggestions removed—not your personal appointments.
- If you edit the day heavily, a notice may say the schedule was edited and suggest Auto-Schedule to close gaps.
- Virtual meetings show contact information instead of a street address; route language may say Virtual Mtg.
- There is no search box on the Schedule List itself. Search for clients when you use Add.
What is the Schedule List?
On the Rithm iPhone and iPad app, the Schedule List is the scrollable day agenda inside the Schedule tab. There is no separate screen titled “Schedule List.” The tab is labeled Schedule; the list is the day plan you scroll through on that tab.
It is your field day in list form, paired with a map:
- Notifications — tips, warnings, sticky notes, and reminders
- My appointments — appointments and blocks you created
- Recommended Schedule — the main timed plan for the day (visits, personal blocks, travel time between stops)
- Nearby clients — clients near you for opportunistic stops
- All clients available today — clients available that weekday
Completing visits through Check In helps Rithm learn your real day so future recommendations improve.
Where to find it
- Open the Rithm app.
- Tap Schedule on the bottom tab bar (calendar icon).
Schedule is often the tab you return to after login.
How the screen is laid out (important difference from the web):
- iPhone: A full-screen map sits behind a floating sheet that holds the Schedule List. Drag the sheet handle up or down to show more list or more map. The sheet stays with Schedule; switch tabs to leave.
- iPad: A split view shows the list on the left and the map on the right (no floating sheet).
Above the map/list you will see toolbar controls such as the date, Sales Advisor, route mode, sticky note, and + to add a meeting.
How to use it
Choose a day
- Tap the date button in the toolbar (weekday and full date).
- Pick a day on the calendar, or tap Today.
- Tap Done.
While loading, you may see Retrieving Schedule information…
How this differs from the web: Mobile is day-centric. You change the date from the toolbar rather than living in a month grid as the primary view.
Read the list sections
Scroll the sheet (iPhone) or left pane (iPad). Sections with content show a count when relevant.
Notifications
Tap the Notifications header (chevron) to open the full Notifications screen. Back returns to Schedule.
Sticky notes may show labels such as Overdue Sticky Note, Due with a date, or when the note was created. Checking some tip/warning notes dismisses them; completing a sticky note hides it when done.
My appointments
Tap the header to open the full My appointments list. These are your fixed items. They can also appear again inside Recommended Schedule for the day.
Recommended Schedule
This section expands inline on the Schedule sheet (no separate page). It is the main timed list of stops.
Each meeting row typically shows:
- Start time and end time on the left
- A colored vertical bar as a visual type cue
- Client name (strikethrough when completed; may look dimmer for lower-priority stops)
- Extra names when several people share one stop
- Address
- Notes under a divider
- A circular check with Completed when marked done
Travel lines such as Travel time: 30 minutes sit between stops. They are informational, not meetings you check off.
Nearby clients and All clients available today
These headers open detail lists titled Nearby Clients and Clients Available Today. Rows can show name, address, distance (for example, miles away), and completion/check-in. Empty states may say No nearby clients or No available clients. A summary like {N} Total clients may appear.
These lists remain available even when the day’s Recommended Schedule is empty, so you can still find people to see.
Open a client, reschedule, or edit notes
- Tap the client area of a row to open client detail.
- Tap the times to open Reschedule Meeting (date, time, duration, notes). Delete from here if needed: confirm with Yes when asked Delete this schedule item?
- Tap the notes to open Edit Meeting Notes.
How this differs from the web: There are no swipe-to-delete actions on agenda rows. Edit and delete happen through Reschedule Meeting and related screens.
Mark a visit complete (Check In)
- Tap the incomplete circle on the row.
- Check In opens (completion is not silent on a normal client visit).
- Use Navigate, Call, or Close as needed from the Check In screen.
- Under Who did you see?, tap one or more buttons:
- Doctor
- Office Manager
- Nurse / MA
- Front Desk
- Nobody (busy)
- Under Outcome, tap one or more buttons:
- Discussed Product
- Sampled
- Left Information
- Follow-up Needed
- Lunch Only
- No Access
- Optionally enter Quick Notes (you can use dictation). Placeholder text suggests visit takeaways, samples dropped, and similar.
- Review Client Notes / Last Visit Notes when shown.
- Tap Completed to save (it may show Saving…), then finish with Done on Visit Completed or Visit Recorded.
Use Back to leave without saving.
If the client is marked do-not-visit, you may see: Warning: This client is marked as Do not visit.
Important: Choosing only notes with no who/outcome, or selecting Nobody (busy) / No Access, typically means the visit is not treated as fully completed. That protects your history when you could not get a real visit.
For multi-person stops, after Check In you may see Completed for every client? with:
- YES. Completed for all!
- It was for some clients.
- NO. I’ll need to come back!
Unchecking a completed visit marks it incomplete again (for multi-client stops, that can uncomplete the group).
Add a meeting (+)
- Tap + in the toolbar.
- The screen title is Add Meeting or Add Client Visited, depending on the type.
- Under Meeting Type, choose a type button:
- Appointment
- Breakfast
- Lunch
- Snack
- Dinner
- Virtual
- Client Visited
- Other
- Fill in Meeting notes or Client Visit notes, search Contact name or address (placeholder: Search for client name…), and set Starts, Time, and Duration (minutes).
- Save with the checkmark, or cancel with the X.
If the time is in the past, you may see: This meeting time is in the past. It will be saved as completed.
How this differs from the web: Mobile uses meeting-type buttons (Appointment, Breakfast, Lunch, and so on) instead of the web’s Call / Meetings / Event / Overnight (or manager Task / Meeting / Event) add menu.
Sticky notes
- Tap the sticky note icon in the toolbar.
- On Sticky Note, write under Notes….
- Choose a due option under Due: This evening, Tomorrow AM, or End of week.
- Save. The note appears under Notifications on the Schedule List.
Route mode
- Tap the turn-arrow control in the toolbar (Start route mode / Stop route mode).
- A card appears over the map with your next stop, progress such as N of M, and status labels like Next Stop, Next Stop (Not Completed), Next Virtual Mtg, Next Virtual Mtg (Not Completed), or Completed.
- Use Navigate for maps/Waze and Check In / Completed as you go.
- Browse stops with the previous/next controls. Empty state: No upcoming stops today.
How this differs from the web: Route mode on mobile always uses today’s stops. Changing the date on the Schedule List does not change the route card’s day. On the web, Start Route / End Route sit on the Schedule page itself.
Auto-Scheduler (separate tab)
Building or refreshing the recommended day plan is done from the Auto-Scheduler tab—not from an Auto-Schedule button inside the Recommended Schedule section (as on the web).
When the day is empty, you may see Schedule is empty for today, and on suitable weekdays a tip such as: Rithm’s plan for today can be even better. Go to the Auto-Schedule tab to create a new plan.
If you are signed out, the list may show Not currently logged in.
Sales Advisor
Tap the sparkle Sales Advisor control in the toolbar to open coaching from the Schedule context. Accepting appointment suggestions there can refresh your Schedule List or change the selected date.
Practical tips for new users
- On iPhone, drag the sheet so you can see both the next few stops and enough map to feel oriented.
- Work Notifications → Recommended Schedule first; use Nearby and Available when you have open time.
- Travel lines are drive time only—skip them when checking off visits.
- There is no list search or status filter on the Schedule sheet; find clients when adding a meeting or from the Clients tab.
- Virtual meetings are part of the list but are not shown as map pins the same way in-person stops are.
- My appointments are yours; Recommended Schedule is Rithm’s timed plan. Both matter, and they work together.
