Meeting Check-in is how you record what happened when you visit a client. Meeting Completion is how Rithm marks that visit as successfully done—so your schedule, client history, and Auto-Scheduler stay accurate.
Think of it this way:
- Check In = “I was there. Here’s who I saw and what happened.”
- Completion = “This visit counts as a successful meeting.”
In everyday use, these work together. When you finish a call, you open Check In, tap a few quick choices, add optional notes, and tap Completed. Rithm then decides whether the visit is fully completed or simply recorded.
What is it?
Why it matters
As a salesperson, your day is full of stops: scheduled meetings, walk-ins, and group visits at the same office. Check-in turns each stop into a clear record that helps you and Rithm:
- Remember who you spoke with and what you covered
- Update the client’s last visit date
- Keep your schedule honest (completed meetings show as done)
- Guide Auto-Scheduler so future visits are spaced correctly
- Build a history you can review before the next call
Without check-in and completion, Rithm may keep suggesting visits that you already made—or lose track of what happened at an account.
Check In (the form)
When you tap a checkmark or a Check In button, Rithm opens a short form titled Check In. On that screen you can:
- See the client name, specialty, address, and current time
- Review Client Notes and Last Visit Notes
- Select Who did you see? (for example, Doctor, Front Desk)
- Select an Outcome (for example, Discussed Product, Sampled)
- Add optional Quick Notes
You must choose at least one person and/or outcome before you can save.
Completion (the result)
After you save, Rithm shows one of two results:

What Check In is not
- It is not the same as scheduling a meeting (that’s adding or editing a visit on your calendar).
- It is not navigation (use Navigate to open maps/directions).
- It does not require GPS check-in or a photo.
- It does not require a pre-scheduled meeting—you can check in from a client even if nothing is on today’s calendar (Rithm can create a short background visit for you).
Where to find it (Web)
You can start Check In from several places in the web app. Use whichever matches how you’re working that day.
1. Schedule (most common for a planned day)
- Open Schedule from the main menu.
- Find the meeting in your agenda or day’s list.
- Tap the circular checkmark next to the client (tooltip: Completed).
If the meeting is not yet done, this opens the Check In form. If it is already completed, tapping the checkmark again clears completion (without reopening the form).
2. Route / next stop
When you’re working a route on Schedule:
- Open Schedule and use route mode so the next-stop card appears.
- On the Next Stop card, tap Check In (next to Navigate).
This opens the same Check In form for that stop.
3. Clients list
- Open Clients (sometimes labeled Accounts, depending on your setup).
- Find the client row.
- Tap the checkmark action on that row (Check In / Completed).
Use this for walk-ins or when you’re already on the Clients screen.
4. Client detail
- Open a client from the Clients list.
- In the header actions (near Call / Navigate), tap Check In (or Completed if already done today).
How to use it (Web)
Step-by-step: Check in after a visit
- Open Check In from Schedule, Route, Clients, or Client detail (see above).
- Review the header — Confirm you’re on the right client. You’ll see the name, optional specialty, address (or Unknown location), and a timestamp.
- Read any warnings or notes
- If the account is marked do-not-visit, you’ll see: Warning: This client is marked as Do not visit.
- Review Client Notes (read-only here; use the edit link if you need to change them).
- Review Last Visit Notes and the Last visit time at the bottom.
- Tap View History → if you want prior visit context before you choose outcomes.
- Select Who did you see? (tap one or more buttons)

- Tap Completed at the bottom (the button stays disabled until at least one button is selected). While saving, it may show Saving…
- Confirm the result
- Visit Completed = successful visit
- Visit Recorded = logged, but not fully completed (typically Nobody (busy) or No Access)
- Tap Done.
To leave without saving, tap Back.
Completing a group / multi-client stop
Some stops cover more than one client at the same location (for example, several doctors in one office). After a successful Check In:
- A popup asks Completed for every client?
- Adjust the toggles for individual clients if needed.
- Choose one of these answers:
- YES. Completed for all!
- It was for some clients.
- NO. I’ll need to come back!
This tells Rithm which accounts were actually met at that stop.
Undoing completion
On Schedule or Route, tap a completed checkmark again. Rithm clears completion without reopening the Check In form. Use this if you marked the wrong meeting by mistake.
Checking in without a scheduled meeting
From Clients or Client detail, you can still Check In even if nothing is on the calendar for that client today. Rithm looks for a matching meeting around yesterday–tomorrow. If none exists, it creates a short background visit and attaches your notes and completion status to it.
What happens after you save (Web)
After a successful Visit Completed:
- The schedule checkmark shows as completed; the client name may appear with a line-through on the agenda.
- Agenda notes update with your combined check-in text (who you saw, outcomes, and quick notes).
- The client’s last visit date updates.
- Auto-Scheduler may adjust future suggested meetings (for example, removing or annotating nearby AUTO visits so you’re not over-booked).
- Activity tracking can count the check-in for managers who review activity.
After Visit Recorded (Nobody / No Access):
- Your notes are saved.
- The visit is not treated as a successful completed meeting in the same way—so last-visit / scheduler success behavior does not run as it would for a full completion.
Tips for salespeople (Web)
- Prefer Schedule or Route → Check In when working a planned day so notes attach to the real appointment.
- Use Clients Check In for walk-ins and unscheduled stops.
- Select both Who did you see? and Outcome whenever you can—it makes history much clearer next time.
- Use Nobody (busy) or No Access when you tried but couldn’t have a real meeting—this keeps your record honest without falsely marking success.
- For shared-office stops, answer the Completed for every client? question carefully so each doctor’s history stays accurate.
- If you’re viewing another user’s schedule through a filter, completion controls may appear but not be interactive.
Where to find it (iOS)
On the iPhone app, Check In is available from the places you already use in the field. Look for a circular check control or a Check In button.
1. Schedule tab (primary)
- Open the Schedule tab at the bottom of the app.
- Find the meeting in your list.
- Tap the empty circular check on the row.
This opens the Check In sheet. When the visit is done, the row can show a filled check and the label Completed.
2. Route mode (next stop)
- On Schedule, start route mode (toolbar control: Start route mode / Stop route mode).
- On the next-stop panel, tap Check In.
- If the stop is already done, the button may read Completed instead (tapping it can clear completion).
3. Nearby / available clients (on Schedule)
On Schedule you may also see sections such as:
- Nearby clients
- All clients available today
Each row has the same check control. Use it to check in on a nearby or available account—even if that stop wasn’t on your original agenda.
4. Clients tab → Client detail
- Open the Clients tab.
- Open a client.
- In the header actions (near Sales Advisor / Directions / Phone), tap the checkmark circle (Check In).
- If you already checked in recently, it may show as Checked In and be unavailable for another check-in right away.
Note: The Targets tab does not currently include a Check In button. Use Schedule or Client detail instead.
How to use it (iOS)
Step-by-step: Check in after a visit
- Open Check In from Schedule, Route, Nearby/Available, or Client detail.
- Review the sheet titled Check In
- Client name (group stops may show something like “… and others”)
- Specialty and address (or Unknown location)
- Time
- Optional shortcuts in the toolbar
- Navigate — open directions if the address is available
- Call — dial if a phone number is available
- Close (X) — dismiss without saving
- Review notes
- Client Notes (edit with the pencil if needed)
- Last Visit Notes (may show Loading…, prior notes/date, or No previous visit recorded)
- Footer shows Last visit: with a relative time (for example, “2 days ago”) or No previous visit
- If you see Warning: This client is marked as Do not visit., pause and confirm before proceeding—you can still check in if your manager expects it.
- Select Who did you see? (one or more)

- Tap Completed (shows Saving… while working). The button stays disabled until at least one button is selected.
- Review Visit Completed or Visit Recorded, then tap Done.
Tap Back or Close anytime before saving to leave the meeting incomplete.
Completing a group / multi-client stop (iOS)
For multi-client stops:
- Tap the incomplete group check → Check In opens.
- Fill out and save Check In as usual.
- Next, a sheet titled Completed for every client? appears with a toggle for each name.
- Confirm with one of:
- YES. Completed for all!
- It was for some clients.
- NO. I’ll need to come back!
- You’ll then see Visit Recorded → tap Done.
If a group stop is already fully complete, tapping the green check again typically un-completes everyone immediately (no Check In form).
Undoing completion (iOS)
On a single-client schedule row, tap the green check so it turns off. Rithm clears completion without reopening Check In.
Checking in without a scheduled meeting (iOS)
From Client detail, Nearby clients, or All clients available today, Check In can create an ad-hoc (background) visit when there isn’t a calendar row to attach to. Your who/outcome/notes still save the same way.
On Client detail, if you already checked in within about the last 24 hours, the control may show Checked In and prevent an immediate duplicate.
What happens after you save (iOS)
- Your combined notes (quick notes + who you saw + outcomes) are saved to the visit.
- For scheduled meetings, completion is updated on that calendar item.
- For ad-hoc check-ins, Rithm creates/updates a background visit.
- Schedule and route views refresh so completed stops show correctly (often with a strikethrough name and Completed).
- Client information refreshes for the accounts you just visited.
- Nobody (busy) or No Access saves notes as Visit Recorded without treating the stop as a full successful completion.
Tips for salespeople (iOS)
- Use Schedule or Route → Check In when working your planned day.
- Use Nearby clients when you’re already in the area and want to log a quick stop.
- Use Client detail → Check In for walk-ins when you’re looking at one account.
- Dictation on Quick Notes is handy between stops—grant microphone permission if iOS asks.
- Location permission helps Nearby Clients and Navigate; it is not required just to open and save Check In.
- Be careful with group stops: the Completed for every client? sheet is how Rithm knows which doctors you actually met.

The who-you-saw buttons, outcome buttons, Visit Completed / Visit Recorded meanings, and completion rules are the same on both platforms.
Choosing the right buttons
Use these as everyday guidance:
- Had a real conversation about your product → Discussed Product (and the role you met under Who did you see?)
- Left samples → Sampled
- Dropped brochures or leave-behinds without a deep discussion → Left Information
- Need another visit soon → Follow-up Needed (still counts as completed when you also had a real visit)
- Lunch-only touchpoint → Lunch Only
- Arrived but couldn’t get in → No Access → results in Visit Recorded
- Staff too busy / no one available → Nobody (busy) → results in Visit Recorded
You can select more than one button in each section. For example: Doctor + Nurse / MA, and Discussed Product + Sampled.
Common questions
Do I have to schedule a meeting before I can check in?
No. Scheduling is best for planning your day, but you can check in from a client (or nearby list on iOS) even without a calendar item.
What if I checked the wrong meeting?
Tap the completed checkmark again to clear completion, then check in on the correct stop.
Why can’t I tap Completed?
Select at least one Who did you see? or Outcome button first.
Will Check In send an email?
No. Check-in updates your schedule and visit history; it does not send a dedicated email by itself.
Does Rithm capture my GPS location when I check in?
No. The address shown is the client’s address for context. Location services on iOS are used for nearby clients, maps, and routing—not as a GPS “punch clock” for Check In.
