The Pipeline

The Pipeline is Rithm’s visual sales board. It shows your clients (also called targets on this screen) arranged in columns by sales stage, so you can see at a glance where each relationship stands and move people forward as the sale progresses.

Think of it as a map of your territory’s sales journey: who has just heard of you, who is trying your offering, who is an active user, who advocates for you, and who may have been lost along the way. Instead of hunting through a long list, you work from a board that mirrors how real selling unfolds.

This guide covers the web version of Rithm in detail. The iOS app does not include a Pipeline screen; on iPhone or iPad, use Clients (and related screens) to view and update stage and visit information. Pipeline is a web feature.


What is the Pipeline?

A board organized by sales stage

On the Pipeline page, each column is a sales stage. Each card in a column is a client (target) currently at that stage.

By default, Rithm uses these stages (left to right):

AwareThey know who you are and what you offer. Many imported or newly added clients start here.
TrialThey are trying your product or service (a pilot, sample, evaluation, and so on).
UserThey are an active user or customer.
AdvocateThey not only use you—they champion you (referrals, strong relationship, vocal support).
Lost UserThe relationship has stalled or been lost; they are no longer progressing as a user.

Your company administrator can rename these stages under Custom client stages (up to six names). If your company has custom names, your columns will show those labels instead of the defaults above. The idea is the same: stages represent progress through the sale.

If a stage column has no clients, it shows None.

Charts at the top

Above the board you may see two summary charts (when your account includes them):

  1. Sales pipeline — A funnel-style view of how many clients sit in each stage. When you have no clients yet, it explains that this area will summarize the stage of the sale once clients exist.
  2. Pipeline distribution — A column chart comparing, by stage, how many clients you have on file, how many completed visits you’ve logged, and (if enabled for your account) scheduled visits. The chart title reflects the total number of clients.

These charts update when you move clients between stages, so the picture at the top stays aligned with the board below.

How Pipeline relates to the rest of Rithm

  • Clients / Accounts — Each Pipeline card is a client record. Opening a card takes you to that client’s detail page. (Some companies label the Clients menu as Accounts; the Pipeline still works the same way.)
  • Importance — Each card can show Importance: N (typically 1–10). Higher importance means a higher-priority relationship. Filters such as High priority, Nearby, and Available use importance.
  • Visits and frequency — Cards can show visit health: Overdue, Due Soon, or (when on schedule) no warning badge / On Track in related filters. That helps you prioritize follow-up without leaving the board.
  • Prospects — Some cards may show a Prospect type badge. A Prospects button also takes you to a nearby-prospecting tool so you can find new people near you.
  • Target List — Another menu view with overlapping filter ideas; Pipeline is specifically the stage-column board.

In short: Pipeline answers “Where is each client in the sales journey?” and lets you update that answer by moving cards.


Where to find it in the UI (Web only)

  1. Sign in to Rithm on the web.
  2. Open the main menu (side or home menu).
  3. Choose Pipeline.

In a typical menu order you will see items such as Home, Schedule, Clients (or Accounts), Auto-Scheduler, Scoreboard, Target List, then Pipeline, followed by Weekly Planner and other items.

The page title is usually Pipeline. If your account is tied to a territory or team name, the title may appear as Pipeline for [region] (or a shorter Pipeline – [region] if the longer form would be too long).

You need permission to use Pipeline. If you do not have access, Rithm shows a message that you need permission for this feature. Ask your administrator if you expect to see Pipeline and do not.

Note for mobile app users: There is no Pipeline screen in the iOS app. Use the web browser for Pipeline, or manage client stages from client records in the app.


How to use it

Overview of the screen

From top to bottom you typically see:

  1. Sales pipeline and Pipeline distribution charts
  2. A search field and filter buttons
  3. A short hint about dragging (desktop) or swiping (phone/tablet-sized web)
  4. The stage columns filled with client cards

Clients within each column are ordered by name. After you move a card to a new stage, it appears at the top of that column so you can spot the change immediately.


Understanding a client card

Each card can show:

  • Name of the contact or client
  • Account / organization in parentheses when it differs from the name
  • Address (more prominent on smaller screens; desktop layout may hide the address line for a cleaner board)
  • Importance: N
  • Visit status when relevant: Overdue or Due Soon
  • Prospect badge when the contact type is Prospect

On desktop (wider screens): click a card to open the full client detail page. Stage changes are done by dragging the card to another column (see below).

On smaller screens (phone-width web): tap a card to open detail. Swipe the card left, or tap the (three-dot) Actions control, to reveal Call, Navigate, and Move.


Moving clients between stages

Updating stage is the core of using Pipeline. When a relationship advances (or is lost), move the card so your board stays truthful.

On a computer (desktop / wide browser)

A tip near the board says: Drag targets between columns to change stage.

  1. Click and hold a client card.
  2. Drag it onto the column for the new stage.
  3. Release.

Rithm saves the new stage right away. Column counts and the charts refresh. You do not need a separate Save button for the move.

On a phone or narrow browser window

A tip says: Swipe cards left or tap the 3-dot icon to Call, Navigate, or move it to a different stage.

  1. Swipe the card left, or tap the three-dot Actions button.
  2. Tap Move.
  3. In the Move stage dialog, choose the new stage. The stage the client is already in is marked (current).
  4. Tap Cancel if you change your mind.

After a successful move, the card jumps to the top of the new column.


Opening a client for full details

Click or tap the card (not the swipe actions) to open that client’s detail page. From detail you can edit notes, schedule visits, update fields, and more. When you came from Pipeline, you can return to the board when you are done.


Calling and navigating (smaller screens)

From the swipe / Actions tray:

On wide desktop layouts, Call and Navigate are not the primary interaction; open the client detail page if you need phone or address tools there.


Searching the Pipeline

Use the search box with placeholder Search pipeline…

Search matches (case-insensitive):

  • Client name
  • Address
  • Organization

As you type, the board narrows to matching cards. A clear (X) control appears when there is text so you can reset search quickly.

The count near the filters shows how many targets you are viewing—for example 42 targets, or after filtering/searching something like 5 of 42 targets.


Filtering the board

Filter buttons sit beside search. Use them to focus on who matters for today’s work.

Other toolbar buttons

  • Sales Advisor (if enabled for your account) — Opens the Sales Advisor chat for coaching and questions about your book of business.
  • Prospects — Opens the nearby Prospects tool so you can discover new prospects, then return to Pipeline.

Show: (managers / team views)

If your account can switch whose data you see, a Show: control may appear. You can choose a user or territory view, including options such as Only my personal data. Changing this reloads the Pipeline for that selection—useful for managers reviewing a salesperson’s stages.


Collapsing and expanding stage columns

Each column header shows:

  • A colored bar for that stage
  • The stage name
  • A count badge
  • A collapse control (chevron)

Click the header or the collapse control to expand or collapse that column. Collapsing stages you are not working on can reduce clutter on smaller screens or busy boards.


Visit status: Overdue, Due Soon, and On Track

Rithm compares last-visit timing to each client’s expected visit frequency:

  • Overdue — It has been too long since the last visit relative to their cadence. Prioritize these.
  • Due Soon — Not overdue yet, but enough time has passed that a visit is approaching (more than about two weeks since the last visit, when applicable).
  • On Track — Timing looks healthy. The On track filter under More… focuses the board on these.

Use the matching filters under More… when you want a board that only shows people who need attention—or only people who are current.


Working from the charts

Use the funnel and distribution charts as a health check:

  • A funnel heavy in early stages (Unaware / Aware) may mean lots of pipeline to develop.
  • Growth in User and Advocate usually means relationships are maturing.
  • A rising Lost User column is a signal to review what went wrong or whether follow-up is needed.
  • Distribution comparing clients vs. completed visits shows whether activity matches the size of each stage.

After you drag or Move cards, glance back at the charts to confirm the big picture updated.


Fixing clients with no stage (when shown)

If some clients have no stage set, the Sales pipeline area may prompt you to change those clients from an unset stage to a chosen stage, with an Apply action. Use that when you want a clean board where every client sits in a real column.


Practical daily workflow for a new salesperson

  1. Open Pipeline from the main menu on the web.
  2. Skim Sales pipeline and Pipeline distribution for an overall sense of your book.
  3. Tap All, or narrow with Nearby / Available if you are planning today’s calls or stops.
  4. Use Search pipeline… when you need one specific person or company.
  5. Under More…, check Overdue and Due Soon so nobody slips.
  6. Open a card to prepare: notes, phone, address, history.
  7. After a meeting or meaningful change, drag (desktop) or Move (mobile web) the card to the correct stage.
  8. Use Prospects when you have capacity to add new nearby opportunities.
  9. Use Bulk edit or Import clients from More… when you need list maintenance rather than one-by-one updates.
  10. If Sales Advisor is available, ask it for help interpreting priorities or next steps.

Keep the board honest. A Pipeline that matches reality becomes your best coaching tool for yourself—and for your manager if they use Show: to review your stages.


Tips for getting the most from Pipeline

  • Update stage soon after the conversation. Do not wait until Friday; small moves keep the board trustworthy.
  • Lost User is useful, not shameful. Parking a stalled relationship there clears noise from active columns and keeps forecasting clearer.
  • Importance and stage work together. Stage is where they are; importance is how much they matter. High-importance clients still in early stages are often your best focus.
  • Filters are for focus, not permanent hiding. Switch back to All when you need the full picture.
  • Custom stage names mean your column headers may differ from this article; follow the names your company defined—the drag/Move behavior is the same.
  • Web vs iOS: Plan stage work on the web Pipeline. On iOS, continue using client screens; there is no separate Pipeline board in the iPhone app.

If something looks missing

  • No Pipeline menu item — You may lack permission, or you may be in an admin area where that menu item is hidden. Ask your administrator.
  • No charts — Your role may not include the score/pipeline widgets; the stage board can still be usable.
  • Empty columns — They show None until clients are assigned that stage.
  • Empty board overall — Add or import clients, set stages on client records, then return to Pipeline.
  • Nearby looks empty — Location permission, distance, availability today, and importance range all affect Nearby. Try All or Available to confirm clients exist.

The Pipeline is there to make sales progress visible and actionable: find the right people, see where they stand, move them when the relationship changes, and keep your follow-up cadence healthy—all from one web board designed for how field and inside salespeople actually work.
