The Weekly Planner

The Weekly Planner is your multi-week schedule at a glance. It lays out the next four weeks of meetings, visits, tasks, events, and notes in a clear day-and-time grid—so you can see where you need to be, who you are seeing, and what still needs attention, without flipping through one day at a time on the Schedule.

Think of it as a printable route book for your territory: columns for the days you work, rows for time of day, and cells filled with the people and activities on your plan. It is ideal when you want to plan a week, brief a manager, or take a spreadsheet into the field.

This guide covers the web version of Rithm in detail. The iOS app does not include a Weekly Planner screen. On iPhone or iPad, use the Schedule (calendar) and client screens for day-to-day planning; open Weekly Planner in a web browser when you need the four-week grid or spreadsheet download.


What is the Weekly Planner?

A four-week schedule grid

When you open Weekly Planner, Rithm builds four consecutive weeks of schedule tables, starting from the Sunday of the current week.

Each week is labeled like:

Week 1 from [date]
Week 2 from [date]
…and so on through Week 4.

Under each week heading is a table with:

  • A time column on the left (in half-hour steps, such as 8:00, 8:30, 9:00)
  • Day columns across the top (for example Monday through Friday)
  • Client and activity details in each time slot

Only working days normally appear as columns. Those days come from your Default work hours in Settings (for example, Monday–Friday 8–5). If something is already scheduled on a day you do not usually work, that day can still appear so you do not miss it.

The time range on the left also follows your work hours. If an appointment falls earlier or later than that range, the grid expands so the appointment still shows.

What appears on the planner

The Weekly Planner pulls from your schedule. Typical items include:

  • Client meetings and visits (including ones created or adjusted by Auto-Scheduler)
  • Virtual meetings (shown as virtual rather than a physical city when City is one of your columns)
  • Tasks, calls, meetings, events, and overnight-style items you or a manager added
  • Sticky notes that are still open (completed sticky notes are not listed)

When several items fall in the same half-hour on the same day, they appear together in that slot so nothing is hidden.

How names and status are shown

For a normal client visit:

  • The name (or account, depending on your company’s setup) is a link to that client’s detail page.
  • If the client belongs to an organization with other contacts who meet together, additional names may appear in parentheses after the main name.
  • For past appointments:
  • A checkmark before the name means the visit was marked completed.
  • A Not marked as visited! warning means the appointment is in the past but was not marked as visited—useful when catching up on follow-through.

For items that are not a standard client record (for example some tasks or background schedule items), the planner shows the note text and links you to the Schedule for that day instead of a client page.

Sticky notes show a small sticky-note icon and the note text.

How Weekly Planner relates to the rest of Rithm

Where to find it in the UI (Web only)

  1. Sign in to Rithm on the web.
  2. Open the main Menu.
  3. Choose Weekly Planner.

In a typical menu order you will see items such as Home, Schedule, Clients (or Accounts), Auto-Scheduler, Scoreboard, Target List, Pipeline, then Weekly Planner, followed by Settings and other items.

The page title is Weekly planner.

You need permission to use Weekly Planner. If you do not have access, Rithm shows a message that you need permission for this feature. Ask your administrator if you expect to see it and do not.

Note for mobile app users: There is no Weekly Planner screen in the iOS app. Use the web browser for Weekly Planner, or use Schedule and client screens in the app for day-level planning.

On a phone, tablet, or iPad browser, the planner table may scroll horizontally so you can move across the days without shrinking the text until it is unreadable.


How to use it

Overview of the screen

From top to bottom you typically see:

  1. Optional Choose a view: control (for managers or users who can switch whose data they see)
  2. Download spreadsheet button
  3. Select columns section (expand to choose which client fields appear)
  4. Four weekly tables (Week 1 through Week 4), each with day headers, field sub-headers, times, and scheduled items

In the page header you may also see:

  • A sticky note icon (if sticky notes are enabled for your account)
  • An Add button to create new schedule items

Reading a week table

  1. Find the heading Week N from [date] for the week you care about.
  2. Read across the day headers (for example Monday, Tuesday). Each day name is a link—click it to open Schedule for that calendar date.
  3. Read down the left time column to find the hour or half-hour.
  4. In each cell, read the columns you selected (name, city, importance, and so on).
  5. Click a client name to open that client’s detail page (you can return to Weekly Planner when you are done).
  6. For tasks or other non-client items, use the link to jump to Schedule for that day.

Empty cells simply mean nothing is scheduled in that slot.


Choosing which columns to show (Select columns)

By default, the planner often shows something like Name (or Account for some business setups), City, and Importance. Your last column choices are remembered for your session so you do not have to reselect them every time.

To change columns:

  1. Open Select columns.
  2. Check or uncheck the fields you want.
  3. Tap or click Update.

The page reloads with the new columns under every day.

Fields you can include

Tip for field sales: start with Name, City, and Importance, then add Street, Phone, or Note when you need a fuller road sheet. For virtual-heavy weeks, keep City so Virtual meeting labels stand out.


Downloading a spreadsheet

Use this when you want Excel (or another spreadsheet app) for printing, sharing with a manager, or working offline.

  1. Set your Select columns the way you want them to appear in the file (the download uses your current column choices and work-day / time settings).
  2. Click Download spreadsheet.
  3. You will see a short confirmation page titled Download Spreadsheet with instructions.
  4. Click Download to receive the file, or Back to return to the planner without downloading.

The downloaded file name is typically along the lines of Weekly planner_YYYY-MM-DD.xls.

About the Excel alert: When you open the file in Microsoft Excel, you may see a message that the file format and extension do not match. That is a known Excel behavior with this export. It is OK to choose Yes and open the file. The sheet is your Weekly Planner content, ready to review or print.

Downloading also requires export permission. If download is blocked, ask your administrator.


Adding schedule items from Weekly Planner (Add)

The Add button in the header opens a short list of item types you can put on the calendar. After you finish adding, Rithm returns you to Weekly Planner so you can see the updated grid.

What you see depends on your role:

Use Add when you notice a gap on the planner and want to fill it without leaving the page context.


Sticky notes on the planner

If sticky notes are enabled:

  1. Click the sticky note icon in the header.
  2. Write and Save your note (or open History if you need past notes).
  3. After saving, the Weekly Planner refreshes so the new note can appear on the grid.

Open sticky notes show with a sticky-note icon and their text in the matching time slot. Completed sticky notes do not keep appearing on the planner.


A manager’s view

If your role allows it (for example managers reviewing a team), a control labeled Choose a view: may appear near the top.

  • The default option is typically Only my personal data.
  • Other options let you select a person or team view from your hierarchy.

Changing the selection reloads Weekly Planner for that view. This is useful for coaching: you can review a salesperson’s four-week plan the same way they see it.

If you do not see this control, your account is simply set to your own data only—that is normal for most salespeople.


How work hours shape the planner

Your Default work hours in Settings (for example “M-F 8-5, except lunch”) tell Rithm:

  • Which weekdays usually get columns
  • Which hours usually get rows

If your territory work pattern changes (new weekend coverage, earlier starts, and so on), update work hours in Settings so Weekly Planner stays aligned with how you actually work. Scheduled items outside those hours or on other days can still appear; the planner expands rather than hiding them.

Timezone settings for your account also affect how times are displayed relative to your local day.


Virtual meetings and organizations

  • Virtual meetings: When City is one of your selected columns, virtual meetings can show Virtual meeting in that column instead of a physical city—handy when mixing road days and remote days in one week.
  • Organizations / accounts: If several contacts at the same organization are grouped to meet together, the planner may list the related names in parentheses after the primary name or account so you know who else is part of the stop.

Completing past visits (the checkmark and warning)

Weekly Planner is also a quiet accountability tool:

  • Past visits with a checkmark are marked completed—good.
  • Past visits with Not marked as visited! still need to be marked on Schedule or the client visit flow.

Make a habit of clearing those warnings soon after the appointment. Your Scoreboard and visit cadence stay healthier when completions are logged promptly, and your planner stays trustworthy when you glance back at prior weeks.


Practical daily workflow for a new salesperson

  1. Open Weekly Planner from the main Menu on the web.
  2. Skim Week 1 for this week’s shape: busy days, open slots, travel-heavy days vs. virtual days.
  3. Glance at Week 2–4 so you are not surprised by next week’s load.
  4. Use Select columns → choose what you need for today’s work → Update.
  5. Click day headers to drop into Schedule when you need to rearrange a single day.
  6. Click client names to prepare: notes, phone, address, importance.
  7. Use Add to fill gaps (calls, meetings, events).
  8. Use the sticky-note icon for quick reminders that should sit on the plan.
  9. After field days, return and clear any Not marked as visited! warnings for past stops.
  10. Click Download spreadsheet when you need a printable or shareable copy for yourself or your manager.

Tips for getting the most from Weekly Planner

  • Plan the week, execute on the day. Use Weekly Planner for the big picture; use Schedule for fine-tuning one day.
  • Keep columns lean on screen, rich on download. A few columns keep the web grid readable; add street, phone, and notes before you download if you want a fuller printout.
  • Work hours matter. If weekends or early mornings never show and you expect them, check Settings.
  • Managers: Use Choose a view: to review a report’s four-week plan without guessing from one calendar day.
  • Excel “format and extension” alert: Choose Yes—the download is still your planner.
  • Web vs iOS: The four-week Weekly Planner and spreadsheet download are web features. On iOS there is no Weekly Planner screen; use Schedule and clients in the app, and open the web when you need this grid.

If something looks missing

  • No Weekly Planner menu item — You may lack permission. Ask your administrator.
  • Empty weeks — Nothing is scheduled yet, or you are viewing a filter/person who has no plan. Add items from Add, Schedule, or Auto-Scheduler, then return.
  • Missing weekend (or a weekday) — That day may be outside your Default work hours and have no scheduled items. Update hours or add an appointment on that day.
  • Wrong times — Confirm timezone and work hours in Settings.
  • Cannot download — You may lack export permission, or you need to complete the Download confirmation step after Download spreadsheet.
  • Client details are hidden — Some shared or restricted records may show a message that details are hidden; ask your administrator if you need access.
  • Using the iPhone app — Weekly Planner is not available there; open Rithm in a browser for this screen.

The Weekly Planner is there to make the next four weeks visible and actionable: see your route and meetings by day and time, open the right client when you need detail, adjust the plan with Add and Schedule, track visit completion on past stops, and download a spreadsheet when you need the plan in your hand—all from one web view designed for how field and inside salespeople actually work.
