Quotas change, territories shift, and manually planning every day can take time away from selling.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s where Rithm\u2019s <strong>Auto-Scheduler<\/strong> comes in. It helps you keep track of client meetings and suggests who should be seen on each day of your upcoming schedule. It considers each client\u2019s availability, importance, location, travel time, how long it\u2019s been since your last visit, and more\u2014then automatically builds a plan that puts you in front of the best clients possible so you can focus on what you do best: selling.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The Auto-Scheduler fills gaps around appointments you\u2019ve already entered yourself. It will <strong>not<\/strong> move or overwrite those manual appointments. When you run it again, it only rearranges its own earlier suggestions to fit your latest plans.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong>What it does for you<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Personalized recommendations<\/strong> \u2014 Analyzes your client data to suggest strong visit schedules.<\/li>\n\n\n\n<li><strong>Respects your plans<\/strong> \u2014 Manual appointments stay intact while AI fills the open time.<\/li>\n\n\n\n<li><strong>Adaptive scheduling<\/strong> \u2014 Rerun anytime to adjust for location or schedule changes.<\/li>\n\n\n\n<li><strong>Continuous learning<\/strong> \u2014 Check off completed meetings so future runs get smarter.<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Before you rely on Auto-Scheduler every day, make sure you have clients with valid addresses, realistic visit frequency, and importance rankings that reflect who matters most. If you\u2019re on a free\/limited plan, you\u2019ll see upgrade messaging instead of the full tools.<\/p>\n<p>Also: if you\u2019re viewing someone else\u2019s filtered account, Auto-Scheduler may ask you to switch back to your own account first (<strong>Use my account<\/strong>) before it will build <em>your<\/em> plan.<\/p>\n<hr \/>\n<h2>How to use it (Web)<\/h2>\n<h3>Step 1: Prepare your foundations<\/h3>\n<p>For the best first run:<\/p>\n<ol>\n<li>Add clients (or import them) with usable street addresses.<\/li>\n<li>Set each client\u2019s <strong>Importance<\/strong> (1\u201310).<\/li>\n<li>Confirm visit frequency and, where needed, client hours.<\/li>\n<li>Set your own <strong>work hours<\/strong> in Settings.<\/li>\n<li>Put any fixed appointments (calls, lunches, personal holds, customer-requested times) on the Schedule yourself first. Auto-Scheduler will schedule <em>around<\/em> them.<\/li>\n<\/ol>\n<p>Optional but powerful client flags:<\/p>\n<ul>\n<li><strong>By Appointment Only<\/strong> \u2014 Auto-Scheduler will <strong>not<\/strong> create meetings for that client (unless you\u2019ve marked them to visit ASAP).<\/li>\n<li><strong>Visit ASAP<\/strong> \u2014 Forces that client into consideration on the next run so they can be added to the near-term route, even when they might otherwise be filtered out.<\/li>\n<\/ul>\n<h3>Step 2: Open Auto-Scheduler and review the setup screen<\/h3>\n<p>Go to <strong>Auto-Scheduler<\/strong> in the main menu. You\u2019ll see the intro (\u201cReady to Auto-Schedule with AI?\u201d) and the primary action <strong>Okay &#8211; make my day!<\/strong><\/p>\n<p>If you don\u2019t have clients yet, Rithm will prompt you to add some before you can build a schedule.<\/p>\n<h3>Step 3: Choose client importance<\/h3>\n<p>Under <strong>Client importance<\/strong>, use the dual-handle slider (range <strong>1\u201310<\/strong>) to choose which clients are eligible for this run.<\/p>\n<ul>\n<li>Only clients whose importance falls <strong>between<\/strong> the low and high handles are considered.<\/li>\n<li>The live count updates as you move the handles\u2014for example, <strong>Auto-Schedule {count} clients<\/strong> with an estimate of how many visits that may average per day.<\/li>\n<li>Tip shown in the UI: click between the handles to move the minimum while keeping the maximum.<\/li>\n<\/ul>\n<p><strong>How to set importance for individual clients<\/strong><\/p>\n<ul>\n<li>On a client\u2019s add\/edit or detail screen, use the <strong>Importance<\/strong> control (1 = Not Important, 10 = Very Important; new clients often default to <strong>5<\/strong>).<\/li>\n<li>Or use <strong>Target List<\/strong>, where clients are grouped by importance (for example, Importance 10 \/ Very Important down through lower ranks). You can move clients between levels there.<\/li>\n<\/ul>\n<p><strong>How importance affects planning<\/strong><\/p>\n<ul>\n<li>Higher importance clients are preferred when time is limited.<\/li>\n<li>Clients marked importance <strong>0<\/strong> are treated as \u201cdo not visit\u201d and are not auto-scheduled.<\/li>\n<li>After a run, clients outside the importance range you used may appear <strong>grayed<\/strong> on the schedule so you can see who was intentionally left out of that plan.<\/li>\n<\/ul>\n<h3>Step 4: Filter which clients to include (optional)<\/h3>\n<p>Under <strong>Create schedule only for these clients<\/strong>, choose how narrowly to build the plan:<\/p>\n<ul>\n<li><strong>All clients<\/strong> (default)<\/li>\n<li><strong>Stage is<\/strong><\/li>\n<li><strong>Type contains<\/strong><\/li>\n<li><strong>City contains<\/strong><\/li>\n<li><strong>State contains<\/strong><\/li>\n<li><strong>Zip contains<\/strong><\/li>\n<li><strong>Country contains<\/strong><\/li>\n<li><strong>Note contains<\/strong><\/li>\n<li>Custom fields, shown as <strong>{Field name} contains<\/strong> when your account has them<\/li>\n<\/ul>\n<p>For text-based filters, use the search field (<strong>Search for this<\/strong>). Tip: add a comma between items if you want to match more than one value. For <strong>Type contains<\/strong>, you can toggle specific types or <strong>All<\/strong>.<\/p>\n<p>Filters are useful when you want a focused week\u2014for example, only one city, one stage, or one client type\u2014without changing everyone\u2019s importance.<\/p>\n<h3>Step 5: Run Auto-Scheduler<\/h3>\n<ol>\n<li>Tap <strong>Okay &#8211; make my day!<\/strong><\/li>\n<li>Allow location if prompted (Rithm may use your current position, especially when you\u2019re already out in the field).<\/li>\n<li>You\u2019ll see progress such as <strong>Optimizing schedule\u2026<\/strong> and then <strong>Auto-Scheduler status<\/strong>.<\/li>\n<li>Status refreshes while the job runs. Messages may include that the Auto-Scheduler is starting, that your schedule is being optimized, or that it can take a few minutes. You can leave the status screen; the job continues in the background.<\/li>\n<li>When finished, you\u2019ll see <strong>Your new schedule is ready!<\/strong> with how many clients were successfully scheduled. Open <strong>Calendar<\/strong> to review the plan.<\/li>\n<\/ol>\n<p><strong>Light-schedule warning<\/strong><\/p>\n<p>If your filters leave only a very small set of clients (for example, a handful of matches that are a small share of your whole book), Rithm may warn that the schedule will be light and ask whether to continue (<strong>No<\/strong> \/ <strong>Yes<\/strong>).<\/p>\n<p><strong>No matches<\/strong><\/p>\n<p>If nothing matches your importance range and filter, optimization is canceled with a clear explanation so you can widen the range or change the filter.<\/p>\n<h3>Step 6: Quick reruns from the Schedule<\/h3>\n<p>From <strong>Schedule<\/strong>:<\/p>\n<ol>\n<li>Click <strong>Auto-Schedule<\/strong>.<\/li>\n<li>Confirm in the dialog: <strong>Ready to adjust the schedule?<\/strong><br \/>\nRithm explains that recommendations will be added and gaps filled where there\u2019s room, and that appointments you entered stay as-is.<\/li>\n<li>Choose:<\/li>\n<\/ol>\n<ul>\n<li><strong>OK<\/strong> \u2014 run with your current settings<\/li>\n<li><strong>Settings<\/strong> \u2014 jump to the full Auto-Scheduler setup (importance + filters)<\/li>\n<li><strong>Cancel<\/strong><\/li>\n<\/ul>\n<p>While a run is busy, the button may show <strong>Auto-Scheduling\u2026<\/strong><\/p>\n<h3>Step 7: Clear Schedule (web Schedule day view)<\/h3>\n<p>Use <strong>Clear Schedule<\/strong> when you want a clean slate for Rithm\u2019s suggestions on <strong>that day<\/strong>:<\/p>\n<ol>\n<li>Click <strong>Clear Schedule<\/strong>.<\/li>\n<li>Confirm: <strong>Ready to clear the schedule?<\/strong><br \/>\nThis moves Rithm\u2019s recommendations off that day (they can be placed on other dates as the plan rebuilds). Your manually entered appointments remain untouched.<\/li>\n<li>Choose <strong>OK<\/strong> or <strong>Cancel<\/strong>.<\/li>\n<\/ol>\n<h3>Step 8: Tune Auto-Scheduler settings (optional)<\/h3>\n<p>Open <strong>Settings \u2192 Maintenance \u2192 Auto-Scheduler settings<\/strong>:<\/p>\n<table>\n<thead>\n<tr>\n<th>Setting<\/th>\n<th>What it controls<\/th>\n<\/tr>\n<\/thead>\n<tbody>\n<tr>\n<td><strong>Days in advance to schedule<\/strong><\/td>\n<td>How far into the future Auto-Scheduler forecasts (for example, a few days up through multiple weeks).<\/td>\n<\/tr>\n<tr>\n<td><strong>Limit meetings per day<\/strong><\/td>\n<td>Cap suggested + preset meetings per day, or choose <strong>Not limited<\/strong>. Even when unlimited, Rithm still respects work hours, client hours, and travel time.<\/td>\n<\/tr>\n<tr>\n<td><strong>Default minutes per meeting<\/strong><\/td>\n<td>Default visit length for <strong>new and imported<\/strong> clients only. It does not overwrite existing clients\u2014use bulk edit for that.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>Save when finished.<\/p>\n<hr \/>\n<h2>Understanding the results (Web)<\/h2>\n<h3>On the status \/ results screen<\/h3>\n<p>Typical success messaging:<\/p>\n<ul>\n<li><strong>Done<\/strong><\/li>\n<li><strong>Your new schedule is ready!<\/strong><\/li>\n<li><strong>Successfully scheduled {number} clients.<\/strong><\/li>\n<li>Encouragement such as <strong>Wow, that was easy!<\/strong> (or a softer message if nothing could be placed)<\/li>\n<\/ul>\n<p>If some clients could not be placed, you may see <strong>Improvements are possible<\/strong> with guidance to check addresses, travel distance, and overlapping work hours. Expand the details to see buckets such as:<\/p>\n<ul>\n<li>Not available<\/li>\n<li>Too far away<\/li>\n<li>High priority<\/li>\n<li>Low priority<\/li>\n<\/ul>\n<p>Helpful next steps may include <strong>Fix addresses<\/strong>, <strong>Analyze<\/strong>, or scheduling an overnight stay near distant clients and running Auto-Scheduler again so far-away accounts can fit that day.<\/p>\n<h3>On the Calendar<\/h3>\n<p>Suggestions appear as normal timed meetings on each day, along with travel and helpful day notes. Examples of notes you may see:<\/p>\n<ul>\n<li>The plan for this day hasn\u2019t been created yet \u2014 use Auto-Scheduler.<\/li>\n<li>This schedule has been edited \u2014 Auto-Schedule again to refill gaps.<\/li>\n<li>The schedule is light \u2014 add nearby prospects, then Auto-Schedule.<\/li>\n<li>Already seen some of these clients? Mark them completed to teach Rithm, then Auto-Schedule.<\/li>\n<\/ul>\n<p><strong>Important behaviors to remember<\/strong><\/p>\n<ol>\n<li><strong>Your manual appointments stay.<\/strong> Auto-Scheduler only replaces its own prior suggestions.<\/li>\n<li><strong>Editing an auto-suggested meeting\u2019s time<\/strong> can turn it into a fixed appointment so future runs treat it like something you entered on purpose.<\/li>\n<li><strong>Mark meetings completed<\/strong> with the checkmark\/completed control as you finish them. That teaches Rithm who you\u2019ve actually seen and improves the next run.<\/li>\n<li>If you add new manual appointments that overlap earlier suggestions, just Auto-Schedule again. Rithm will reshuffle <em>its<\/em> suggestions around your new commitments.<\/li>\n<li>Clients outside your last importance filter may appear grayed so you can see who was left out of that optimization.<\/li>\n<\/ol>\n<\/div>\n<div class=\"su-tabs-pane su-u-clearfix su-u-trim\" data-title=\"Mobile UI\">\n<h2>Where to find it (Mobile)<\/h2>\n<p>On iPhone \/ iPad, Auto-Scheduler is a main tab:<\/p>\n<p><strong>Clients \u2192 Targets \u2192 Schedule \u2192 Auto-Scheduler \u2192 Settings<\/strong><\/p>\n<p>Open the <strong>Auto-Scheduler<\/strong> tab (sparkles icon) to see the intro, importance controls, filters, and <strong>Okay &#8211; make my day!<\/strong><\/p>\n<p>Other helpful entry points:<\/p>\n<ol>\n<li><strong>Client meetings empty state<\/strong> \u2014 <strong>Auto-schedule\u2026<\/strong> switches you to the Auto-Scheduler tab.<\/li>\n<li><strong>Schedule empty weekday (within the forecast window)<\/strong> \u2014 tips may say to go to the Auto-Scheduler \/ Auto-Schedule tab to create a plan.<\/li>\n<li><strong>Settings \u2192 Maintenance \u2192 Auto-Scheduler Settings<\/strong> \u2014 opens the Auto-Scheduler settings page (web settings embedded in the app) for days-ahead planning, meeting limits, and related options.<\/li>\n<li><strong>Settings \u2192 Default work hours<\/strong> \u2014 auto-scheduled meetings are only arranged during the hours you set here.<\/li>\n<li><strong>Previous optimization status<\/strong> \u2014 after you\u2019ve run Auto-Scheduler at least once, this button on the Auto-Scheduler tab reopens the last results.<\/li>\n<\/ol>\n<p><strong>Difference from web:<\/strong> Mobile does <strong>not<\/strong> show separate <strong>Auto-Schedule<\/strong> \/ <strong>Clear Schedule<\/strong> buttons on the Schedule day the same way the web calendar does. On mobile, you primarily run and rerun from the <strong>Auto-Scheduler<\/strong> tab. The filter choices themselves are the same idea.<\/p>\n<h3>Step 5: Run Auto-Scheduler<\/h3>\n<ol>\n<li>Tap <strong>Okay &#8211; make my day!<\/strong><\/li>\n<li>You\u2019ll see <strong>Optimizing schedule\u2026<\/strong> and progress such as <strong>Optimizing Schedule. N % complete<\/strong>.<\/li>\n<li>While running, the main button area shows that your schedule is being optimized and that it can take a few minutes.<\/li>\n<li>Rithm first checks how many clients match your settings:<\/li>\n<\/ol>\n<ul>\n<li><strong>0 matches<\/strong> \u2192 <strong>Error<\/strong> sheet explaining that no clients matched; optimization is cancelled (<strong>Okay<\/strong>).<\/li>\n<li>A very small matching set \u2192 <strong>Warning<\/strong> that the schedule will be light; choose <strong>No<\/strong> or <strong>Yes<\/strong>.<\/li>\n<li>Otherwise \u2192 optimization starts right away.<\/li>\n<\/ul>\n<ol>\n<li>When finished, you\u2019re taken to <strong>Auto-Scheduler results<\/strong>.<\/li>\n<\/ol>\n<p>Allow location access when possible. Mobile prefers your current GPS for the run and falls back to your home location if needed.<\/p>\n<h3>Step 6: Review results and open Schedule<\/h3>\n<p>On <strong>Auto-Scheduler results<\/strong>:<\/p>\n<ul>\n<li>Banner: <strong>Building the best schedule to meet clients<\/strong><\/li>\n<li>If clients were placed: <strong>Your new schedule is ready!<\/strong> plus <strong>Successfully scheduled N clients.
